Study ACCA FA by tracing every adjustment to both sides of the accounting equation before calculating anything. Practise writing the two-line journal first, then compute; use reconciliations and consolidation drills to test whether your direction logic survives when several adjustments are combined in one scenario.

Accruals and prepayments: which side of the equation moves

An accrual increases an expense and creates a liability; a prepayment reduces an expense and creates an asset. The discipline is naming the balance-sheet account first, then the expense effect, so the journal cannot be reversed.

Worked scenario: a company pays insurance of $2,400 on 1 October for the 12 months to 30 September. At the 31 December year end, nine months remain, so the prepayment is $1,800. The journal is Dr Prepayments (asset) $1,800, Cr Insurance expense $1,800, leaving only $600 as the year's expense. A plausible mistake is adjusting the wrong side: recording Dr Insurance expense $1,800, Cr Accrued insurance (liability) $1,800, as though the timing difference were owed. Because the $2,400 payment is already sitting in the expense, this adds a second charge — the year's expense becomes $4,200 instead of $600, overstated by $3,600 — while a phantom liability of $1,800 appears where an asset belongs. Three statement errors from one wrong direction.

The mirror case is an accrual: wages of $500 earned by staff but unpaid at year end are recorded as Dr Wages expense $500, Cr Accruals (liability) $500. Notice the pattern: the expense always moves in the direction that reflects resources consumed, and the balance-sheet account absorbs the timing difference. Compare the two journals side by side in your notes — accrual (expense up, liability up) versus prepayment (expense down, asset up) — and the symmetry becomes a memory anchor rather than a guess.

Irrecoverable debts versus the allowance: two entries, one trap

Writing off a debt removes a specific receivable and records an expense. The allowance is a separate estimate, and only its movement between year ends hits profit. Confusing the two inflates the charge.

Worked scenario: receivables total $50,000. A $2,000 debt is irrecoverable, and the policy is a 5% allowance on the remaining balance. The existing allowance is $1,000. Step one: Dr Irrecoverable debts expense $2,000, Cr Receivables $2,000. Step two: the required allowance is 5% × $48,000 = $2,400, but the income statement charge is only the movement: $2,400 − $1,000 = $1,400, recorded as Dr Irrecoverable debts expense $1,400, Cr Allowance for receivables $1,400.

The plausible mistake is charging the full $2,400, which double counts the $1,000 already provided. A useful self-check: after both entries, the statement of financial position should show receivables of $48,000 less the new $2,400 allowance, and total irrecoverable debt expense should equal the write-off plus the movement — $3,400 here. If your two figures do not combine into that pattern, retrace which entry touched the receivables control and which touched only the allowance account. Also note the recovery case separately: a debt recovered after write-off is Dr Cash, Cr Irrecoverable debts expense (or a recovered debts income line), never a credit to receivables.

  • Write-off: specific customer removed from receivables; full amount expensed.
  • Allowance: estimate against remaining balances; only the year-on-year movement is expensed.
  • Recovery after write-off: cash in, expense reduced or income recognised; receivables are not reinstated.
  • Self-check: receivables in the statement of financial position are always shown net of the new allowance, not the old one.

Control account reconciliation: deciding which record is wrong

The control account is built from totals of prime-entry records; the list of balances comes from individual customer accounts. Reconciliation is deciding whether a discrepancy belongs to the control side or the list side, not simply adjusting the larger figure.

Worked scenario: the receivables control account shows a debit balance of $24,600, but the list of individual balances totals $24,150 — a $450 difference. Investigation shows a $450 contra against the payables ledger was entered in the individual customer's account but omitted from the control account. Because the contra should appear in both records, the correction belongs in the control account: Dr Payables control $450, Cr Receivables control $450, giving $24,150 on each side. The mistake to avoid is 'correcting' the list to $24,600, which would preserve an error and misstate both ledgers.

Build a placement map to classify items: cash discounts, irrecoverable debts written off, and contras belong in the control account; a sales invoice posted to the wrong customer, or a transposition in one balance, belongs in the list. When a discrepancy appears, ask which record the item should have passed through. Exercise to run this week: take any reconciliation question, list every item as control-side or list-side before doing arithmetic, then reconcile. Expected observation: once classification is right, the arithmetic resolves in one step, and any residual difference points to a classification you got wrong — that residual is your study signal.

From adjusted trial balance to the statement of profit or loss

Preparing the statement of profit or loss is an ordering task: post every adjustment into the trial balance first, confirm it still balances, then classify balances into cost of sales, other income, expenses, and finance items.

Set up a three-column working: unadjusted trial balance, adjustments, and adjusted balances. Each adjustment occupies two cells — the expense or income effect and the corresponding asset, liability, capital, or reserve effect — and the adjusted column must still balance. Cost of sales is assembled rather than lifted: opening inventory plus purchases minus closing inventory, with carriage inwards added and returns outwards deducted. Closing inventory itself needs the two-line treatment: Dr Inventory (statement of financial position), Cr Cost of sales (statement of profit or loss).

Then classify with three distinctions that change presentation: depreciation is an expense and accumulated depreciation is a credit against the asset; carriage inwards joins cost of sales while carriage outwards is a distribution cost; and interest expense sits below operating profit, not among admin expenses. Trace one full worked example end to end — a trial balance with, say, six adjustments of the kinds in the sections above — and confirm that every adjustment appears in exactly two places in your columns. If an adjustment appears once or three times, the statement will not reconcile, and the tracing habit from earlier sections is what locates the slip.

Consolidated goodwill and NCI: pick one method and stay consistent

Goodwill equals consideration plus non-controlling interest at acquisition minus the subsidiary's net assets at acquisition. Two NCI methods exist — fair value or proportionate share of net assets — and mixing them corrupts both goodwill and NCI.

Worked scenario: Parent buys 80% of Sub for $360,000. At acquisition, Sub's equity is share capital $100,000 plus retained earnings $150,000, so net assets are $250,000. NCI is measured at fair value of $80,000. Goodwill = $360,000 + $80,000 − $250,000 = $190,000. The plausible mistake is computing NCI as 20% × $250,000 = $50,000 while still using a fair-value-style figure elsewhere, producing goodwill of $160,000. The error is method mixing: under the proportionate method NCI would be $50,000 and goodwill $160,000; under fair value both figures change together.

Why consistency matters beyond acquisition day: consolidated retained earnings attribute post-acquisition profits to the parent's 80% share, and NCI's share of post-acquisition profits appears in the NCI balance. If acquisition-day goodwill is wrong, the split of every later profit is built on a wrong base. Trace the arithmetic once with both methods using the same numbers and record the two answer pairs side by side. Then test yourself with a question where the fair value of net assets is adjusted below book value — for example, undervalued land of $30,000 at acquisition — and confirm the adjustment increases net assets at acquisition, reducing goodwill and feeding into every later calculation.

Interpretation: matching each ratio to the correct inputs

Interpretation questions are input-selection tests. Each ratio pairs a specific profit figure with a specific capital or activity base, and using revenue where cost of sales belongs changes the answer materially.

The conceptual trap is that several profits exist — gross profit, profit before interest and tax, profit after tax — and each belongs to particular ratios. Similarly, capital employed is equity plus non-current liabilities, not equity alone, and efficiency ratios such as inventory days and receivable days are computed on cost of sales and revenue respectively. Decide the numerator and denominator before touching the calculator.

Use the table below as a pairing drill: for each ratio, name the two inputs aloud from memory, then check. Expected observation: the ratios you misname reveal which financial statement lines you have not internalised, and that points you back to statement preparation rather than ratio practice.

A preparation sequence and self-check rubric for FA

Sequence your study in four passes: journal mechanics per topic, mixed adjustment sets, full statement builds, and timed consolidation plus interpretation drills. Assess against a rubric of observable outputs, not a feeling of familiarity.

Pass one, learn the tracing method: for each syllabus area — transaction recording, trial balance adjustments, single-entity statements, consolidations, interpretation — write the two-line journal template before any computation, as practised in the sections above. Pass two, mixed sets: combine four to six adjustments of different types in one scenario, because stacking is where direction errors surface. Pass three, full builds: produce a statement of profit or loss and statement of financial position from an adjusted trial balance, then a consolidated goodwill working under both NCI methods. How do I remember the direction of accrual and prepayment entries?
Name the balance-sheet account first: an unpaid expense creates a liability (accrual), and an expense paid ahead creates an asset (prepayment). The expense line then follows — up for the accrual, down for the prepayment — so both sides of the equation always move together.
Why is the allowance for receivables charged at only the movement, not the full amount?
Because any allowance already recognised in a prior period is embedded in last year's profit. Only the increase or decrease since then is a current-year expense or credit, so the charge is the difference between the new required allowance and the existing balance.
In a control account reconciliation, which side should I correct?
Decide where the item belongs by its nature. Totals of prime-entry books — cash, discounts, write-offs, contras — affect the control account; errors in individual customer balances affect the list. Correct whichever record the missing or duplicated item was supposed to pass through.
